What we collect

When you sign up for an account we collect the following information (Data Set A):

• your name
• your contact details (including email address)
• your school's contact details

When you start to use the system, you will need to upload the following information (Data Set B):

• Teacher names and titles
• Teacher email address
• Pupil names and gender
• Parental/Guardian email addresses where applicable
• Data on pupil performance

What we do with the information we gather

(Data Set A) We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

• to register your school for our service
• for our internal record keeping and billing,
• to enable us to answer your queries,
• to verify your identity for security purposes,
• to send you updates or information on our services, if you have asked us to.

We will hold this data for as long as you remain a customer of ReportBox and for 2 years afterwards to allow us to comply with requests for access.

(Data Set B) You remain Controller of this data. You consent to give ReportBox access to the data to enable us to process it and to provide the service for which you have signed up.

We will hold this data for 7 years, while you remain a customer of Reportbox, and for 2 years afterwards to allow for customer requests for access to archived data. Reports older than 7 years will be deleted on a rolling basis.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. Your data is kept within the EU.

You control access to your school’s data via user accounts that only you (or ReportBox on request) can create. It is your responsibility to safeguard the password information and only give it to people you trust.

In the unlikely event of a data breach, we have a process in place to detect, report and investigate it. We will inform the Data Controller within 24 hours of establishing that their data was affected.

Ownership

You retain ownership of all data you enter or upload into ReportBox, and have ultimate control over who has access to it.

How we use cookies
